Code of conduct
PREAMBLE
The purpose of the YMCA International Language School’s Code of Conduct and Ethical Standards is to define the main rules to follow at the YMCA International Language School (hereinafter referred to as the “School”).
The School wants every person to have the opportunity to develop their language skills in a healthy, calm, caring, and pleasant environment. This document thus presents the principles students must adhere to when they participate in a course within our establishment in accordance with our values of respect, listening, solidarity, inclusion, and caring.
All students registered at the School must sign this Code of Conduct to confirm that they have read and understood these rules and agree to comply with them.
LANGUAGE POLICY
To truly improve their language skills, the School recommends that students communicate exclusively in the language they are studying, when possible. This will allow them to maximize their language practice during their studies at the School.
TYPES OF COURSES
The School offers different types of courses.
- Group courses: a teacher teaches a minimum of four (4) students during a scheduled session (please see the session calendar on the School’s website).
- Custom courses: a teacher teaches three (3) students of the same level, contractually bound for a session according to an agreed upon schedule.
- Semi-private courses: a teacher teaches two (2) students of the same level, contractually bound for a session according to an agreed upon schedule.
- Private courses: a teacher teaches one (1) student according to an agreed upon schedule.

TARDINESS AND ABSENCES
Attendance is mandatory to successfully pass a course. Teachers take attendance during every class.
Students must arrive on time to avoid disturbing other students in their learning.
If a student is twenty (20) minutes late or more to a class, the teacher will record them as “late.”
The School must be advised as soon as possible of any foreseen absences or tardiness by emailing the School at infolang@ymcaquebec.org. The teacher must be CC’d in the email.
The student understands that if they are late to a group course, the teacher reserves the right to not let them into the classroom so as not to disturb the class in its learning. The teacher can also ask the student to join the class at the break, if applicable.
In case of an absence to a group course, the student cannot make up a class or receive a refund.
Absence of the Teacher
If a teacher must absent themselves from a class, the School will inform the students as soon as possible.
The class will then be made up at a later date agreed upon by the parties or postponed to a later date agreed upon by the parties. No penalty or additional cost will be incurred.
CHANGES AND POSTPONED COURSES
Students cannot change groups or their language of study during a session unless the School recommends it.
Postponing a Course to a Later Session
If the request to postpone is made before the start of the session, there is no penalty.
Postponing a course once the session has started (including the first day) is not possible. Classes already taken must be paid and a refund will be issued according to the cancellation policy for the remaining classes.

If a student arrives within the first twenty (20) minutes of the class’s scheduled start time, the teacher will start the class and the class will end at the time initially scheduled.
If only one (1) student is present, the class will go ahead as planned and the other student will be recorded as “absent.” The missed class cannot be made up.
If no students show up in the first twenty (20) minutes from the class’s scheduled start time, the class will be invoiced as if it took place. This class cannot be made up or refunded.
Absence of the Teacher
If a teacher must absent themselves from a class, the School will inform the students as soon as possible.
The class will then be made up at a later date agreed upon by the parties or postponed to a later date agreed upon by the parties. No penalty or additional cost will be incurred.
Cancelling a Semi-Private Class
The cancellation of a semi-private class is applied to both students and must be done during the School’s business hours (i.e., Monday to Friday from 9:00 a.m. to 5:00 p.m. EST).
To cancel a class, the written consent of both students is required. The notice of cancellation must be sent to the School by email at infolang@ymcaquebec.org, at least 24 hours before the class is to take place or before 3:00 p.m. EST on the Friday before the class (for classes held on Mondays). The teacher must be CC’d in the email.
If the notice of cancellation is received after the deadlines mentioned above, then that class cannot be made up without incurring additional costs. The missed class will be considered as having taken place and will be invoiced.
Postponing a Semi-Private Class
Any class that did not take place can be made up on a later date and time that suits all parties (the two [2] students and the teacher), but no later than twenty (20) days after the last initially scheduled class. After this time, additional fees will apply.
Suspension of Study
A course may be suspended for a maximum of three (3) consecutive weeks with the written consent of the two (2) students. The notice of suspension must be sent by email to the School at infolang@ymcaquebec.org at least five (5) days before the planned date of the suspension. The teacher must be CC’d in the email and the name of the learners, the date and time of the course, and the name of the teacher must be clearly indicated in the message.
Classes that did not take place can be made up on a later date and time that suits all parties (the two [2] students and the teacher), but no later than twenty (20) days after the last initially scheduled class. After this time, additional fees will apply.

ETHICAL CONDUCT IN CLASS
The School strives to maintain a healthy, inclusive, and positive environment for students and faculty—a place where every person is treated with respect and courtesy.
Students must maintain a harmonious environment and behave properly with everyone. Students thus commit to not disturbing others nor physically or verbally threatening them.
ELECTRONIC DEVICES
The use of electronic devices (telephones, laptops, tablets, etc.) is strictly prohibited unless otherwise specified by the teacher.
Any student who uses an electronic device during an exam will receive a grade of zero (0) on that exam, unless otherwise specified by the teacher.
RECORDING AND COURSE MATERIALS
Distributing, copying, or modifying course material in any way is strictly prohibited.
Recording a course is strictly prohibited. In the case of non-compliance with this rule, sanctions may be imposed and can result in the expulsion from the School.
GRADES AND PASSING
The School promotes a pedagogical approach that continually evaluates students throughout the session. To pass a course and move on to the next level, students must get a grade of seventy (70) on their final exam.
In addition to passing exams, students must attend at least eighty percent (80%) of classes to get their progress report and proof that they completed the course, and consequently be allowed to move on to the next level in their learning.
Missing an exam results in a failing grade on that exam. However, with a medical note, some exceptions may be made.
CHEATING AND PLAGIARISM
The School expects faculty, students, and the administration to be honest, responsible, and fair in their academic conduct.
The School promotes and raises awareness about academic integrity with students and faculty. Cheating and plagiarism are violations of this academic integrity and are considered very severe offences.
In the case of cheating or plagiarism, School management will impose sanctions against the individuals concerned. It is important to note that these sanctions can go as far as being expelled definitively from the School.
PROBLEMATIC OR CONFLICT SITUATIONS
If a problematic or conflict situation arises in a course, it is important that it is dealt with directly and as quickly as possible by the student and teacher.
If the problem continues after this first meeting, the student(s) must notify the pedagogical consultants or School management by writing to the following address:infolang@ymcaquebec.org.
If a student continues to behave in an unacceptable manner despite an intervention by the teacher as well as the consultant, the case will be brought in front of the pedagogical director, who will decide whether or not to expel the student from the program.
